01Availability

• The resource grid

  Every person is a row and every day is a column, showing hours booked against that day's capacity.

• Five time frames

  Read the grid by day, week, month, quarter, or a custom date range you set.

• Capacity from your calendar

  Capacity comes from your configured working hours, the working week, and company holidays, including second and fourth Saturdays.

• Leave reduces capacity

  Approved leave takes those days out of a person's capacity, so the numbers reflect who is genuinely around.

• Overload is recorded

  Hours booked past a person's capacity for a day are stored as overload and marked on the grid.

• Headline numbers

  Resources, available, busy and over utilised counts, plus total capacity, total allocated, average utilisation and remaining capacity.

• Day detail

  Click a cell for that day's booked, free and overload hours, the tasks behind them, and whether it is leave, a holiday or a weekend.

• Person detail

  Click a name for total capacity, booked and overload hours, free hours, working days, leave days and their task list.

• Create work from the grid

  Found a free day? Create the task and assign it without leaving the grid.

02Allocation

• Booking from estimated hours

  A task's estimated hours are spread across the assignee's working days, skipping weekends, holidays and approved leave.

• Next free dates

  Choose a person and Orangescrum walks forward day by day to show when they can actually fit the work.

• Change the resource

  Reassign a task and the old booking is released, a new one is built against the new person, and the task dates move with it.

• Hours released on close

  Closing a task gives back the hours it had booked, so the grid does not stay blocked by finished work.

03Skills

• Skill profiles

  Record which skills each person has, with the years of experience behind each one.

• Filter by skill and experience

  Narrow the availability grid and the resource picker to people who hold the skill you need.

04Filters

• Role, role group, project and business unit

  Cut the grid down by role, role group, project, or business unit before you start looking.

05Utilisation

• Entry level detail

  Every time entry with date, person, project, task, group, status, type, label, estimated hours, hours spent and billable, with the columns you choose.

• Estimated against actual

  Compare estimated hours to hours actually logged, per person, per week or per quarter, with a percentage and a colour band.

• Two baselines

  Measure actual hours against configured working hours, or against the hours estimated for the work.

• Period presets

  This week, this month, this quarter, this year, the last 365 days and more, or any custom range.

06Reporting

• Task by day allocation

  Every task in the range as a row and every day as a column, with a total for each day.

• Estimated or spent

  Switch that matrix between estimated hours and hours actually spent, split by billable and non billable.

• Workload summary

  A per person breakdown of holiday, leave, overload, booked and available hours for the range you pick.

• Resource cost

  Billable hours per person become cost to company and cost to client using the rates you set.

07Export

• Availability to Excel

  Export the availability grid, filters and all, as a spreadsheet.

• Utilisation to CSV

  Export the utilisation detail and the estimated against actual view as CSV.

08Access

• Four separate permissions

  Viewing utilisation, viewing availability, seeing everyone rather than yourself, and viewing the allocation report are each their own permission.
