What hospitality teams are coordinating

Your property management system handles reservations and your booking engine handles the sale. Neither handles the work around them: opening a property, running a refurbishment while the site is still trading, getting everything ready before the season starts, and delivering events and marketing across several locations. That work is seasonal, deadline driven, and spread across teams who do not sit together and often do not sit in the same country. Orangescrum is the project layer for it.

The problem

Why the season arrives too fast

Readiness becomes a last minute scramble
Recruitment, training, maintenance, and marketing all land in the same fortnight before opening, because nothing was scheduled backwards.
One plan working back from the opening date.
Refurbishment disrupts trading
Works get scheduled without visibility of what else is happening on site, so guests meet the scaffolding.
A shared timeline with real dependencies.
Every property does it differently
Ten sites run ten versions of the same readiness checklist, and there is no way to compare who is actually ready.
One template and one programme across sites.
Property teams are outside the tool
Per seat pricing keeps general managers and heads of department on email, so head office never sees real status.
Unlimited users with access scoped per property.
What matters here

One standard, across every property

  • Openings and pre opening

Each opening as a project, with the opening date as the fixed milestone everything is planned back from.

  • Season planning

Readiness work laid out against the season, so nothing important lands in the final week.

  • Refurbishment schedules

Linked work on a timeline, so a delay on site shows you what it pushes and what it affects.

  • One view across properties

A project per property inside one programme, with progress rolled up for the group.

  • Standards and checklists

Brand standard and readiness checks captured on the task rather than on a clipboard nobody keeps.

  • Every property included

Unlimited users on every plan, with each site seeing its own work and head office seeing all of it.

How it works

How a season is planned

1
Set the date
The opening or season start becomes the milestone everything else is scheduled back from.
2
Use one template
Every property runs the same readiness plan, which is what makes them comparable.
3
Track the site work
Refurbishment and maintenance on a timeline with dependencies, next to the trading calendar.
4
See it across the estate
One programme view of which properties are ready and which need attention now.

Frequently asked questions

Tourism and hospitality project management FAQ

Is this a booking engine or a property management system?

No. There are no reservations, no channel manager, no rate or revenue management, no PMS, and no point of sale. Keep all of that where it is. Orangescrum manages the projects around the operation: openings, refurbishments, season readiness, events, and group wide initiatives.

Can we run a pre opening programme in it?

Yes, and this is where most hospitality groups start. Set the opening date as a milestone, build the recruitment, training, procurement, licensing, and marketing work back from it, and use checklists for the readiness criteria. Because the plan is live, head office sees status between site visits rather than at them.

Can we see all our properties in one place?

Yes. Each property gets its own project, and programme management groups them so progress rolls up across the group. That is what makes it possible to say which four properties are behind rather than which ones replied to the email. Programme management is Premium in Cloud and included in Self-Hosted.

Do property staff cost extra?

No. Every plan includes unlimited users on a flat monthly price, so general managers, heads of department, and seasonal staff can all be in the system. It runs in a browser on any device, so a head of housekeeping can update a readiness task from a phone.

Can we track refurbishment budgets?

Yes. Set a budget per project and actual cost builds from logged work, with variance visible while there is still time to act. This is project cost tracking, not accounting: there is no general ledger, so it complements your finance system rather than replacing it. Budget and cost is Pro and above in Cloud.

Can we standardise brand checks across sites?

Yes. Build the standard as a project template with checklists on the relevant tasks, then run it at every property. Because every site is running the same structure, the reports actually compare like with like, which is the part that usually breaks when each property keeps its own spreadsheet.

Can we keep guest data in it?

You should not, and we would rather be direct about that. Orangescrum is a project tool, not a guest records system, and guest data belongs in your PMS where it is handled properly. If you do have material that cannot sit in a vendor cloud, the Self-Hosted edition runs on your own infrastructure.

Can contractors and agencies be included?

Yes. Permissions are role based per project, and client access gives an external contractor or agency a scoped view of their own work only. With unlimited users on every plan there is no cost reason to keep them working over email.
