What is project based invoicing?

Project based invoicing bills a client from the work actually delivered, usually the approved billable hours on their projects. Orangescrum generates invoices from that approved time, so the bill matches the timesheets your managers signed off and you are not reconciling two different sets of numbers at the end of the month.

The problem

Why billing takes a week

Invoices are rebuilt by hand
Someone exports hours and retypes them into an invoice template.
Invoices generate from approved billable hours.
The bill does not match the work
Clients query lines because the invoice and the timesheets disagree.
One source of truth, so the invoice is the approved time.
Nobody tracks what is outstanding
Sent and unpaid invoices live in someone's inbox.
Invoice status tracked against the project.
What you get

Billing that follows delivery

  • Invoices from approved time

Generate a client invoice from the billable hours a manager has already approved.

  • Rates and billable hours

Set rates and mark which hours are chargeable, so the invoice only includes billable work.

  • Invoice records

Keep each invoice against the project and client it belongs to, with its own history.

  • Send and track

Track what has been issued and what is still outstanding instead of searching an inbox.

  • Profitability

Compare what you billed with what the work cost, per project and per client.

  • Unlimited clients

Add every client and contractor without a per seat cost.

How it works

How an invoice gets raised

1
Log the time
The team records billable hours against tasks as they work.
2
Approve
A manager approves the timesheet, so only checked hours are billable.
3
Generate
The invoice is created from those approved hours at your agreed rates.
4
Track
Follow what has been issued and paid, and see project profitability.

Frequently asked questions

Invoicing FAQ

Can Orangescrum generate client invoices?

Yes. Invoices are generated from approved billable hours, so the bill matches the timesheets your managers signed off rather than being rebuilt separately.

Which plan includes invoicing?

Invoice management is on the Cloud Premium plan and is included in the Self-Hosted edition. Billable hours and timesheet approval, which feed it, are on Pro and above.

Is invoicing an add on module?

No. Client billing is built into Orangescrum alongside budget and cost, rather than being a separate add on.

How are rates handled?

You set the rates that apply, and approved billable hours are converted at those rates when the invoice is generated.

Can I see which invoices are outstanding?

Yes. Invoices are tracked against the project and client, so you can see what has been issued and what is still unpaid.

Does it show project profitability?

Yes. Comparing billed value against actual cost gives profitability per project and per client, which is how you find work that is losing money.

Does it replace my accounting system?

No. It covers project billing, turning delivered work into an invoice. Your accounting system still handles the ledger, tax, and payments.

Is invoicing in the open source edition?

No. The Community Edition covers projects, tasks, and basic time logging. Invoicing is in the Cloud Premium plan and the Self-Hosted edition.
