# HR Work That _Runs the Same Way Every Time_

Turn onboarding, hiring, and employee case work into tracked processes with owners and dates, instead of checklists that live in one person's head.

## What does HR project management need?

Most HR work is the same sequence repeated with different names attached. A new starter, a hiring round, an employee relations case, and a policy rollout each have a set of steps that should happen in a set order, often involving people outside HR. What that needs is a template you can start from, tasks with real owners, confidentiality where it is required, and a record of what was done. Orangescrum handles that process layer, and the Self-Hosted edition adds attendance and leave management.

The problem

## Why HR processes _fall through_

Onboarding depends on one person remembering

IT sets up the laptop, facilities forgets the access card, and the new starter spends day one waiting.

✓ A reusable onboarding template with tasks assigned across teams.

Hiring stages live in a spreadsheet

Nobody can say how many candidates are at second stage without asking the recruiter, who is in an interview.

✓ A board per role, with candidates moving through your own stages.

Employee cases leave no record

A grievance is handled over email and calls, and six months later nobody can evidence what was done and when.

✓ A private project with restricted access and a permanent history.

Requests arrive from everywhere

HR gets asks by email, chat, and corridor conversation, so priority is whoever asked most recently.

✓ One intake queue with statuses and owners.

What matters here

## Repeatable process, _with a record_

- ### Templates for repeated work

Set up onboarding, offboarding, or a hiring round once, then start each new one from the same structure.

- ### Checklists on tasks

The steps that must not be skipped sit on the task itself, not in a document nobody opens.

- ### Confidential by permission

Role based access per project, so an employee relations case is visible only to the people handling it.

- ### Cross team ownership

IT, facilities, and the hiring manager each get their own tasks, with a due date and a name attached.

- ### Attendance and leave

Track attendance and manage leave requests alongside the work. Self-Hosted edition only.

- ### Everyone can be included

Unlimited users on every plan, so managers and new starters take part without a license request.

How it works

## How an HR team _sets it up_

1

Pick one process

Onboarding is usually the easiest to prove value on, because the gaps are obvious.

2

Build it once as a template

Every step, every owner, every checklist item, saved so it can be reused.

3

Set access carefully

Open projects for general HR work, restricted ones for anything confidential.

4

Add the next process

Recruitment rounds, policy rollouts, and case work follow the same pattern.

Frequently asked questions

## HR project management _FAQ_

### Is Orangescrum an HRIS or a payroll system?

No, and this is the boundary to be clear about. We do not hold the employee record of truth, we do not run pay, tax, or deductions, and we do not manage benefits or compensation. Orangescrum manages the HR work itself: onboarding, hiring rounds, case work, policy rollouts, and requests. It runs alongside your HRIS and payroll, and time data can be exported into them.

### Can we use it for recruitment?

Yes, as a process tracker rather than an applicant tracking system. You create a board per role with your own stages, move candidates through them, assign interviewers, and keep notes on the item. What we do not do is post to job boards, parse CVs, or handle candidate facing application portals, so an agency heavy recruiting operation would still want a dedicated ATS.

### Can we keep an employee relations case confidential?

Yes. Put the case in its own project and use role based permissions so only the people handling it have access. Everything stays in that project with a permanent activity history, so the record of what was done and when exists if it is ever needed.

### Do you handle attendance and leave?

Yes, but only in the Self-Hosted edition. It includes attendance tracking and leave management alongside the project work. If you are on Cloud, that module is not available, and we would rather you know that before a demo than after.

### Can we reuse an onboarding checklist?

Yes. Build the onboarding process once as a project template with all the tasks, owners, and checklist items, then start each new starter from it. Nothing depends on somebody remembering the step that only comes up twice a year.

### Can managers outside HR be given access?

Yes. Every plan includes unlimited users, so hiring managers, IT, and facilities can be given their own tasks without anyone raising a license request. Permissions scope each of them to the projects they are actually part of.

### Can we enforce the order steps happen in?

Yes, in the Self-Hosted edition. The visual workflow designer lets you define statuses, which transitions are allowed, and which roles can make them, so a step like a background check cannot be marked done by the wrong person or skipped entirely.

### Can we track time spent on HR work?

Yes. Time logging is included in every edition, so you can see how much effort a hiring round or a case actually consumed. That is useful for justifying headcount, and the data exports if your payroll or finance system needs it.
