# Zoom Integration, _Meetings Beside the Work_

Book a Zoom meeting from Orangescrum and keep the join link on the task or project it belongs to. One company Zoom app, connected once by an administrator.

This capability is available in the **Self-Hosted (on-premise)** edition. It is not part of the Cloud edition today.

## What does the Zoom integration do?

The Zoom integration connects a single company Zoom account to Orangescrum through a Zoom Server-to-Server OAuth app. An administrator enters the Account ID, Client ID and Client Secret once. Members can then schedule a Zoom meeting from the Meetings screen or from the Zoom block on a task. Orangescrum creates the meeting on your Zoom account and stores the topic, start time, duration, timezone and join link against the project or task. Cancelling the meeting in Orangescrum asks Zoom to delete it.

A practical meeting layer over your own Zoom account. Nothing more is claimed than the integration actually does.

    Set a topic, date, time, duration and timezone. Orangescrum creates the scheduled meeting on your company Zoom account.
    
-   ### Meetings on the task
    
    A Zoom block on the task detail lists the meetings booked for that task, with the start time and length.
    
-   ### Add an existing meeting
    
    Paste a Zoom link or meeting ID to attach a meeting that was booked elsewhere to the task it relates to.
    
-   ### Join and copy the link
    
    Every meeting keeps its join link, so anyone who can see the task can join or copy it. The host gets a separate start link.
    
-   ### One meetings list
    
    The Meetings screen shows what your company has booked and filters it by project. It can also schedule Microsoft Teams meetings when that integration is enabled.
    
-   ### One company Zoom app
    
    The connection uses Zoom Server-to-Server OAuth, so there is no per-user consent step and no redirect URI to register.
    
-   ### Secret stored encrypted
    
    The client secret is encrypted at rest, and the short lived access token is refreshed and cached for you.

    Cancelling a meeting in Orangescrum asks Zoom to delete that meeting, then marks the local record cancelled.

    Only an owner or administrator can enter the credentials, and a test connection button checks the account before anyone books.
    

How it works

## How to _set it up_

Create the Zoom app

In the Zoom Marketplace, create a Server-to-Server OAuth app with the meeting write and user read scopes, then note the Account ID, Client ID and Client Secret.

Connect it

An owner or administrator opens Settings, Integrations, Zoom, pastes the three values, sets a default host email, marks it active and runs the test.

Book a meeting

From the Meetings screen or the Zoom block on a task, enter the topic, date, time and duration. The meeting is created on your Zoom account.

Join, then cancel

Share or copy the join link. When the meeting is no longer needed, cancel it in Orangescrum and it is deleted from Zoom.

Orangescrum runs as managed cloud, self-hosted on your own servers, or as the open-source Community Edition. Here is exactly what each one includes.

The Zoom integration is part of the Self-Hosted edition. It is not available in the Cloud edition.

## Zoom integration _FAQ_

### Does Orangescrum integrate with Zoom?

Yes, in the Self-Hosted edition. You connect one company Zoom account, then schedule meetings from the Meetings screen or from the Zoom block on a task. Orangescrum creates the meeting on your Zoom account and stores the topic, start time, duration, timezone and join link next to the work.

### Is Zoom available in the Orangescrum Cloud edition?

No. Zoom does not work in the Cloud edition. The Cloud product has no Zoom connection screen and no way to create a Zoom meeting. The integration ships only in the Self-Hosted edition, where you connect your own Zoom account.

### How do we connect Zoom to Orangescrum?

An owner or administrator creates a Server-to-Server OAuth app in the Zoom Marketplace, gives it the meeting write and user read scopes, and copies the Account ID, Client ID and Client Secret into Settings, Integrations, Zoom. Set a default host email, which must be a licensed Zoom user, mark the connection active, and use the test button to confirm it works.

### Does every user need their own Zoom account?

No. There is one company Zoom app and no per-user sign-in. Meetings are created on the company account under the default host email you set, so members can schedule a call without connecting a personal Zoom account.

### Can I create a Zoom meeting from a task?

Yes. When the connection is active, the task detail shows a Zoom block where you can create a meeting or paste an existing Zoom link or meeting ID. Meetings can also be booked from the Meetings screen with an optional project, so a meeting can belong to a task, to a project, or to neither.

### What does the Zoom integration not do?

It creates and cancels scheduled meetings, and that is the whole scope. It does not fetch recordings, transcripts or meeting summaries. It does not handle webinars, attendance, participant lists or meeting reporting. It does not sync to a calendar, send invitations or post reminders, so you share the join link yourself. It cannot reschedule or edit a meeting after it is booked, so change the time by cancelling and creating a new one. Video runs in Zoom, not inside Orangescrum.

### What happens when a meeting is cancelled or a task is deleted?

Cancelling or removing a meeting in Orangescrum asks Zoom to delete that meeting, then marks the Orangescrum record as cancelled rather than erasing it. Deleting a task does not touch Zoom. Any meeting booked against that task stays on your Zoom account until someone cancels it in Orangescrum or deletes it in Zoom.

### Does it work on a private network?

Yes, provided the server can reach zoom.us and api.zoom.us over outbound HTTPS. Server-to-Server OAuth needs no redirect URI and no inbound connection from Zoom, so Orangescrum can stay behind your firewall. If Zoom is unreachable, scheduling reports a clear error and the rest of the product carries on working.
